Utilisation Rate

Utilisation rate is the percentage of a space's available capacity that is in actual use at a given time. It differs from occupancy rate: occupancy is whether someone has a desk or room assigned; utilisation is whether that desk or room is physically occupied and in active use during a defined measurement period.

A meeting room booked for 10 AM but used only for 20 minutes has low utilisation despite 100% occupancy for that slot. Desk utilisation in typical pre-hybrid Indian offices averages 55–70%; meeting room utilisation averages 35–55% against booking rate. These gaps represent both wasted real estate cost and opportunities to redesign the space mix. Fewer large meeting rooms, more 2–4 person huddle rooms, fewer fixed desks, more collaborative settings.
